Amigos Library Services seeks to fill the role of Accounting Clerk - Association Management Services within its Finance and Accounting team. This position has the option to work from Amigos’ Ballwin / St. Louis office (preferred) or Addison / Dallas office. Position Overview

The Accounting Clerk - Association Management Services is responsible for accounts receivable and accounts payable systems, including primary responsibility for Association Management Services client transactions. The ideal candidate will provide high-quality customer service to members, vendors, clients, and staff and conduct all activities in accordance with timelines and procedures.

Amigos supports numerous clients under its Association Management Services program, including the Association of Southeastern Research Libraries, Library Marketing Conference Group, Louisiana Library Association, Missouri Evergreen, Oklahoma Library Association, St. Louis Regional Library Network, Western Council of State Libraries, and Wyoming Library Association.    

Amigos Library Services’ Strategic Plan to 2025 prioritizes efforts that help the organization become member-led / member-centered; a valued partner; and focused on libraries and library staff. Within the Finance and Accounting team and focused on Association Management Services, pursuit of the strategic plan may include the provision of quality service to partner organizations, improvements to internal processes, and support to programmatic units that serve libraries and library staff. 

This position reports to the Accounting Supervisor.

The essential functions for this role will include:

  • Process and reconcile accounts receivable and accounts payable for association management clients.
  • Perform invoicing and cash receipt functions.
  • Monitor accounts receivable aging data and make proactive collections through direct contact with appropriate individuals.
  • Close the accounts receivable and accounts payable subsystems monthly using the computerized accounting system. Prepare and distribute monthly statements and reports.
  • Serve as a customer service contact to resolve accounts receivable and payable issues and inquiries, including taking member calls and requests from staff.
  • Perform vouchering and payment of vendor invoices.
  • Assist the Accounting Supervisor with preparation of financial reports and presentations for association management clients.

The required skills and qualifications for this role will include:

  • Detail-oriented with the ability to meet deadlines.
  • Ability to work independently in a fast-paced environment.
  • Ability to use word processing, spreadsheet, database, and email software.
  • An aptitude for learning new systems with an ability to work across various, related systems, including QuickBooks, a customer relationship management (CRM) system, and others.
  • Accurate data entry skills and ability to review data for accuracy.

Experience and Education

One (1) year comparable work experience working with receivables, customer accounts, and payables and problem-solving with customers and staff.

Bachelor’s Degree or College Coursework in Accounting or Finance (preferred).

Salary and Benefits
