Position Summary
The Coordinator of Systems & Licensing for the UIW Libraries is responsible for the administration and management of all systems and platforms in support of library operations, including the library system platform – ALMA, the discovery system PRIMO, instructional and data collection systems – LibWizard suite, the digital repository – ExLibris, Library websites, all servers that support library operations, and all other library cloud-based systems related to library operations. This position is an integral member of the Libraries’ administrative team and provides leadership in technological innovation in support of library programming and services. This position has additional responsibilities in supervising the management of licenses and agreements of library resources and systems and platforms. The Coordinator of Systems & Licensing reports to the Dean of Libraries.

This position is eligible for remote work two times per week after initial orientation, as approved by supervisor.

Job Duty Name: Sytems and Platforms Administration

Description of Job Duties

  • Administrates and troubleshoots the Libraries’ cloud-based systems, including software-as-a-service, licensed content platforms and databases, the LSP and Discovery Systems, all servers that communicate with university enterprise-wide systems, FTP and authentication servers, and all other systems and platforms that are part of the Libraries operational support.
  • Administers and reviews contract and licensing and makes recommendations to the Dean of Libraries as well as the calendar of renewal / payment of these products.
  • Works with information technologies and website staff to enhance and maintain the Libraries online platforms.
  • Serves as the technical contact for Libraries’ core systems and platforms.
  • Directs support staff in this area.
  • Performs other duties as assigned.

  • Builds and maintains strong professional relationships and communications with vendors and consortia to obtain product information, preliminary pricing information and license information.
  • Negotiates with vendors to obtain favorable pricing, terms and conditions.
  • Works with Dean of Libraries on establishing budgets for licensed and continuing cost resources.
  • Maintains licensing terms, orders and maintains library electronic resources, and provides updated expenditure in all continuing cost areas as part of Library Leadership Team operations.
  • Works with liaison librarians to understand requests for continuing cost resources and data related to program support.

Job Duty Name Collection development and acquisitions
Description of Job Duties

  • Develops procedures and suggests policies related to collection and access development of library collections and content.
  • Provides data about continuing cost resources to Dean of Libraries as part of bi-annual review for programs and provides liaisons with cost-estimates and overlap analysis as needed.
  • Serves as a liaison to an academic program, as needed.
  • Works with staff to process payments.

  • Oversees staff in electronic resources licensing renewal and billing.
  • Mentors staff in developing knowledge and skills related to areas of responsibility.
  • Provides evaluation of staff on an annual basis.
  • Coordinates all library staff in areas of responsibility.

Job Duty Name Analytics
Description of Job Duties

  • Provides statistics such as usage and related metrics to the Dean of Libraries and liaison librarians as requested.
  • Provides data needed for agency reporting, accreditation, and institutional effectiveness processes such as program review using ALMA reports and analytics and other data parsing tools.
  • Develops reports using Alma’s Analytics and collects usage statistics on all systems / platforms and from content vendors.

  • Designs outreach plans to the community including scheduling and administering trials for new resources as vetted through collection development processes.
  • Provides cost and comparison information to Dean of Libraries and liaison librarians.
  • Serves as reference and service desk relief when needed.

  • Participates in the university’s shared governance activities where appropriate.
  • Serves on the the Libraries’ Leadership Team; serves as the head of the Online Platform and Systems Review Committee, and serves on the Library Advisory Council.

  • Actively participates in professional development in areas of responsibility.

Knowledge Skills and Abilities

  • Strong knowledge of library systems and platforms administration (cloud-based systems);
  • Strong knowledge of essential systems librarianship concepts;
  • Strong knowledge of the electronic publishing environment/ licensing trends;
  • Strong knowledge of electronic resources management;
  • Strong proficiency in integrated library system platforms, computer software and database organization systems;
  • Proficient knowledge of various classification standards/systems/ data structure and metadata standards;
  • Proficient knowledge of HTML;
  • Ability to work effectively with individuals from diverse communities and cultures;
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.

Required Education
MLS / MLIS from an American Library Association accredited program. Note that non-ALA accredited MLS/MLIS Degree with relevant experience will be considered.

Required Work Experience

  • Two (2) years of experience administering cloud-based integrated systems with multiple modules of service, including library systems and platforms such as an ILS, LSP, data archives and repository.
  • Two (2) years of experience developing and managing webpages and online content.
  • Two (2) years of experience directly or indirectly managing electronic resources access and directly or indirectly managing licensing and billing for electronic resources in a library setting.
  • One (1) year of experience leading teams or supervising in a library setting.

Preferred Qualifications

  • ALMA Certification.
  • Demonstrated experience working with ALMA/Primo; webpage coding, LibWizard, Digital Commons/BePress, EZ Proxy.
  • Three (3) years or more managing and administering Library Systems/ Platforms and digital content licensing and in overseeing cloud-based library systems.
  • Proficient knowledge of CSS, and client/server side programming languages such as Python, PHP.

Required Certifications, Licenses or Registrations
Currently hold or ability to obtain certification in ALMA within 12 months of hire.

Work Hours
Monday through Friday 8am to 5pm with flexibility based on the needs of the department.

Physical Demands
Ability to regularly move about campus to attend meetings on and off main campus.
